Job Description:
Position Title:                        Special Projects Coordinator
Program:                                CREC Early Childhood Division, Head Start

 Summary of Responsibilities
  • Supports and works in close collaboration with the Early Childhood leadership team on needs related to daily operations as required in state, local, and federal standards as required, including overseeing the state licensing process for all Head Start centers
  • Develops employee appreciation initiatives and incentives linked to overcoming identified challenges and promoting a positive climate
  • Creates, fosters, and maintains a positive culture and climate across the early childhood division
  • Utilization of agency wide and early childhood databases with an ability to enter, extract, and analyze data as needed by the leadership team
  • Interprets data findings to identify trends and insights that inform decision-making and strategic planning processes, providing actionable recommendations to program leadership for enhancing program quality and impact
  • Coordinates leadership representatives at various meetings, and may serve as a leadership designee, to build and maintain positive relationships with stakeholders, representing the program professionally and promoting its mission, vision, and values in all interactions.
  • Develops employee recruitment campaigns, creates media and marketing materials, assists in the hiring process, attends community fairs and outreach initiatives. Creates tracking systems,monitors Applicant tracking database, and sends correspondence to potential candidate pools to promote interest in employment opportunities
  • Drafts and sends frequent correspondence to promote events, inform of employment vacancies, initiatives, and program happenings division-wide
  • Collaborates with program leadership and staff to develop and maintain a standardized system for updating contact lists, as well as scripts for voicemail greetings and messages, ensuring consistency in communication and alignment with program branding and messaging
  • Organizes Early Childhood Committee meetings including scheduling, sending correspondence, gathering pictures and content from each center, and sharing presentation slides
  • Manages semiannual engagement survey for both employees and parents, aggregates feedback, and assists in the creation of initiatives to respond to data and trends
  • Creates monthly calendars of program operations, trainings, and events for both staff and families
  • Works with the Office Administrator and the Early Childhood leadership team to provide fiscal support and analysis including fiscal and budgetary reports and spreadsheets and provides backup fiscal support when needed
  • Associate or Bachelor’s Degree preferred
  • Previous experience providing project support to personnel at the executive level
  • Bilingual verbal and written skills in English and Spanish are a plus
  • Ability to carry out instructions provided in written and verbal form
  • Established proficiency in Strong knowledge of Microsoft Office, Zoom, Teams and Google suite preferred
  • Ability to establish and maintain cooperative working relationships
  • Demonstrated project management skills, including the ability to plan, organize, and execute multiple projects with multiple stakeholders simultaneously
  • Ability to function independently, prioritize tasks, problem-solve, and manage time effectively with minimal supervision
  • Excellent communication and interpersonal skills, with the ability to engage and collaborate with children, families, and staff at all levels from diverse cultural and socio-economic backgrounds; ability to create and maintain a positive culture and promote excellence in education
  • Commitment to diversity, equity, and inclusion and a passion for improving outcomes
  • Ability to work in a fast-paced environment a must
  • Local travel between program sites for meetings and events required
