About the Position
The administrative assistant assists with general office operations, facilitates parent communications, monitors attendance, coordinates specific student events, and provides other assistance to the Director, faculty and staff as needed. The Administrative Assistant is jointly managed by the School Director and the School Office Operations Manager. Responsibilities include the following:

About the Position
The administrative assistant assists with general office operations, facilitates parent communications, monitors attendance, coordinates specific student events, and provides other assistance to the Director, faculty and staff as needed. The Administrative Assistant is jointly managed by the School Director and the School Office Operations Manager. Responsibilities include the following:
- Daily Attendance—entering, reporting and conducting follow-up communication as needed
- Report attendance related issues and refer students for interventions or to the Student Support/Culture Team
- Prepare attendance data reports
- Meet with attendance committee to share attendance reports and trends
- Maintain accurate detailed records pertaining to student absences: reasons, contact with parent/guardian etc.
- Parent communications—phone calls, e-mails, SMS, and other forms of communications as needed
- Bus cards—Collect, distribute, interface with NHPS
- Phones—Answer, direct calls, address questions, check messages on arrival
- Clerical tasks & Data entry—Assist office manager with clerical tasks as needed
- Office/Classroom Supplies – manage office supplies, classrooms supplies, teacher supplies
- Copier Room – keep copier room neat and stocked
- Assist with the planning and organization of school events and activities
- Maintain the confidentiality of sensitive information
- Other duties—assists Director with other tasks as needed
Requirements and Qualifications - Bachelor’s preferred but not required
- Ability to multi-task and work in stressful situations
- At least 1 - 3 years working experience in a front office environment, preferably a nonprofit organization
- Spanish language proficiency preferred
- Proficient with Google Workspace (Suite) including Doc, Sheets, and Forms
- Thinks critically about the details of a task at hand
- Self-starter who can work independently, be assertive, and make thoughtful decisions about projects
- Works with teammates and is responsive to feedback. Willingness to go above and beyond the requirements of the job to be innovative and support the organization
- Able to lift up to 50lbs and stand for an extended length of time
