JOB OPENING
HUMAN RESOURCES SUPPORT SPECIALIST
Unaffiliated – 12 months (40 Hours per week)
Salary Range: $50,000 - $55,000
GENERAL STATEMENT OF DUTIES: Under general supervision of the Deputy Human Resources Officer and Assistant Superintendent of Human Capital, the HR Support Specialist performs a range of administrative functions related to the human resource management of Bridgeport Public Schools employees. These functions include employee hiring and onboarding, certification maintenance, customer service, and assisting employees and supervisors with all human resource needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Post position openings in a timely fashion both internally and externally as needed. Assure all new hire and other personnel change paperwork is completed accurately and disseminated to appropriate parties and departments. Follow new hire protocol, as set forth by the HR Department, with all new hires.
2. Oversee the maintenance of filing and organizational systems for departmental topic and subject files, applicant files, and personnel files for all current employees. Assure maintenance of any additional files of the Human Resources Department to support easy retrieval and reporting of information as needed. Assure ongoing archiving of personnel files as demand warrants.
3. Assist in the interview, placement and assignment of certified and non-certified staff (to including pending certifications, interns, and student teachers); coordinate dissemination of paperwork to building administrators and other departments.
4. On an ongoing basis, provide support to building administrators and department administrators during recruitment of new staff. Assure full utilization of online posting and application system for easy and efficient retrieval. Track all resignations, retirements, transfers, and hires on centralized data base for department access.
5. Maintain HR data base of staff employment and demographic information in an accurate and timely fashion. Develop the weekly personnel report for submission to the executive cabinet for review.
6. Assist the implementation of the Family Medical Leave Act as it applies to employees. Prepare related correspondence, application materials, sick leave calculations and associated reports as necessary. Follow up on leaves of absences regarding return to work.
7. Assist in the planning and preparation for personnel-sponsored workshops and recruitment activities as needed. Prepare for, plan, and attend recruitment fairs as assigned.
8. Assure communication with certified staff regarding certification status and any pending state requirements. Work collaboratively to assist new or veteran staff with certification paperwork and information.
9. Maintain current and up-to-date folder of departmental forms, form letters, memos, etc. on an HR shared drive for easy access by all department staff.
10. Maintain high level of ethical behavior and confidentiality of information about employees, applicants, and recommended candidates for hire.
11. Proactively work to utilize work day effectively; manage time to meet workload demands and department schedules.
12. Maintain positive and professional relationships with central office co-workers and employees of the district. Communicate and work effectively with other HR staff members.
13. Demonstrate flexibility and ability to respond to challenging and changing priorities.
14. Demonstrate ability to work independently with minimal supervision.
15. Performs various projects as assigned by the Deputy Human Resources Officer or the Assistant Superintendent of Human Capital.
SKILLS, KNOWLEDGE, QUALIFICATIONS, EXPERIENCE:
• Bachelor’s Degree in Human Resources or related field preferred.
• Minimum of three years of human resources experience, preferably in the public sector.
• Extensive computer experience.
• Prior experience in human resources management and experience in HRIS computer applications (data base management) required.
• Ability to communicate in a professional, positive and effective manner.
• Ability to work in a team centered environment.
• Ability to maintain strict confidentiality.
