Job Description:
Villa Maria School seeks a highly organized and detail-oriented Administrative Assistant to support the daily operations of the Special Education Department. This role provides administrative, compliance, and communication support to ensure the smooth functioning of the department while maintaining adherence to Connecticut special education regulations.
The ideal candidate will have experience working in a school environment, strong organizational skills, and familiarity with the Connecticut Special Education Data System (CT-SEDS) and procedures established by the Connecticut State Department of Education (CSDE).

Key Responsibilities
CSDE Support
- Maintain accurate and confidential student records and documentation.
- Assist with special education compliance tasks, timelines, and reporting.
- Enter and manage student data in Connecticut Special Education Data System (CT-SEDS).
- Prepare materials and assist with documentation related to student services and meetings.
- Answer phones, greet visitors, and respond to family and staff inquiries.
- Schedule meetings and manage calendars for the Director of Admissions and PPT/School Liaison
- Prepare correspondence, reports, and maintain organized digital and physical files.
- Provide logistical support for meetings, events, and school initiatives.
- Assist with posting updates and announcements on the school’s social media platforms.
- Support school communications including newsletters, website updates, and family notices.
- Associate’s or Bachelor’s degree preferred; relevant experience considered.
- Administrative experience in a school setting is preferred.
- Familiarity with Connecticut special education procedures and compliance requirements.
- Experience with Connecticut Special Education Data System (CT-SEDS) or similar student information systems.
- Strong organizational and communication skills.
Proficiency with Microsoft Office and Google Workspace.
Ability to maintain confidentiality and manage multiple priorities.
